Our Use of AI in Recruitment: What This Means for Our Candidates

Our Commitment

Every candidate we put forward for consideration will have been reviewed, screened, and assessed by a human consultant, someone trained and experienced in running accessible and inclusive recruitment processes.

AI plays a supporting role only. It is not the decision-maker.

How We Use AI

We use AI selectively to support administrative efficiency, freeing up our consultants’ time so they can focus on what matters most: building genuine relationships with candidates and clients.

If we use an AI note-taker during a call with you, you will always be informed in advance and given the option to opt out.

Our approach to AI is ethical, values-led, and fully aligned with all relevant legal requirements, including the Equality Act 2010 and data protection legislation.

Your Data

  • All AI tools we use operate within ringfenced systems; your data is never shared with third-party AI platforms.
  • None of the information you share with us is used to train AI models.
  • Our AI use is fully compliant with UK GDPR and data protection law.

We carry out due diligence on all AI tools before adoption, including assessments for bias and fairness across candidate groups.

Our Ongoing Commitment

We regularly review how AI is used within our organisation to ensure it continues to reflect our values, supports a fair process for all, and delivers the best possible experience for candidates and clients. Any new use of AI will be assessed, documented, and communicated transparently.

Candidate FAQs

1. Can I use AI when preparing my CV, cover letter, or application?

We recognise AI can be a useful tool in your job search, and we welcome candidates using it thoughtfully. Here is our guidance:

AI can be helpful for:
  • Clarifying and refining your own ideas and experiences
  • Researching publicly available information about an organisation (always verify facts, as AI can generate inaccurate information)
  • Checking spelling, grammar, and overall clarity
  • Structuring your thoughts before writing
Please do not use AI to:
  • Invent or exaggerate skills, qualifications, or experience you do not have
  • Generate a generic CV or cover letter that does not reflect who you are
  • Produce answers to application questions without genuine personal input

Authenticity matters. Your application should always give an accurate and honest picture of your skills and experience.

2. Does Prospectus use AI to submit applications?

No. Every CV and candidate profile we send to a client has been personally reviewed and assessed by one of our consultants.

3. How does Prospectus ensure AI tools are fair?

We take this question seriously. Before adopting any AI tool, we evaluate it for potential bias and its ability to deliver fair, equitable outcomes across all candidate groups. We will not use tools that we are not confident in.

Human oversight it is a requirement at every stage. No AI tool can override or replace the judgement of our consultants.

4. What if I have questions about AI use in my recruitment process?

If you are in a recruitment process and have any questions about how AI is being used that is not answered here, please contact us at data@prospect-us.co.uk.
